Privacy policy
The short version
- We use your details to organise tennis: matches, votes, check-ins, results, leagues and leaderboards.
- We don't sell your data and we don't use it for advertising profiles.
- Your name, photo and results appear on league leaderboards, which are public.
- You can see and change most of your details on your Profile, and ask us to delete your account at any time.
1. Who is responsible for your data
Netcetera Ltd (Isle of Man, registration number IOM 080655C), which runs Kinetic, is the controller of your personal data. Contact: privacy@kinetic.im.
2. What we collect
You give us
- Account and profile: first and last name, email, password, WhatsApp number, gender, country, playing hand, playing style, UTR profile id, your coach, and profile photo.
- Tennis activity: match votes, check-ins, results and points, league memberships, and quiz results if you save them.
Created when you use Kinetic
- Sign-in: a session cookie that keeps you signed in, and time-limited sign-in and password-reset links.
- Location: the Nearest clubs and Join league features ask your browser for your location to sort clubs by distance. This happens in your browser - your location is not sent to or stored by us. Before you share it, Nearest clubs shows an approximate area worked out from your IP address (by ipapi.co; we keep the result for a day and store nothing else).
From others
- WhatsApp: when you are in a club's WhatsApp group, we receive your WhatsApp id, the name you use there and your answers to match polls, so your votes count. Admins can import a group's members as players.
- Clubs, coaches and admins may add you as a player, add you to a league, record your scores or check you in.
- UTR Sports: if you add your UTR profile id or choose "Sign in with UTR Sports", we read your public UTR ratings and, with your permission, your UTR profile (name, location, photo) and ratings.
- Playtomic: for clubs that use it, club admins can see the club's Playtomic bookings and player list in Kinetic, matched to Kinetic players by email or phone.
We don't ask for sensitive data such as health information.
3. Why we use it (and our legal basis)
- To run Kinetic for you - your account, matches, votes, check-ins, results, leagues, leaderboards, coaching and sign-in links (performing our agreement with you).
- To let clubs and leagues organise play - sharing what they need with club, league and coach admins, and showing public leaderboards (our and the clubs' legitimate interest in organising tennis).
- To send match polls, reminders and account messages by WhatsApp and email (our agreement with you; you can opt out of polls by leaving the group).
- To keep Kinetic secure and prevent misuse (legitimate interest).
- UTR connection (your consent, which you can withdraw in UTR at any time).
- Our mailing list - news, features and offers by email, only if you join it on your Profile (your consent; leave any time from your Profile or the link in every email). Your name and email are held by Resend for this.
4. Who can see your data
- Everyone: league leaderboards and live scores show your first name, photo, country, points and results.
- Other players in your matches and leagues can see that you voted or checked in.
- Club, league and coach admins can see the details they need to organise play, including contact details.
- Service providers who help us run Kinetic, only for that purpose:
- our hosting and database providers;
- WhatsApp (via our own WhatsApp gateway) for polls and messages;
- Resend, for sending email;
- Google (Places, for club details and photos; Maps, for directions), Open-Meteo (weather forecasts for matches) and OpenStreetMap (maps);
- UTR Sports and Playtomic, as described above;
- OpenRouter and Anthropic, when an admin uses the screenshot import to read a list of player names from an image.
Some of these providers are outside the UK and EU. Where that happens we rely on appropriate safeguards such as the European Commission's standard contractual clauses. We never sell your personal data.
5. How long we keep it
We keep your account for as long as it is open. Match results stay in league history so leaderboards remain correct; if you close your account we remove or anonymise your personal details. Sign-in and reset links expire within minutes to days, and cached data from other services (such as ratings, club details and weather) is refreshed within hours.
6. Cookies
We use one essential cookie to keep you signed in and protect forms. Your browser may also remember small preferences on your device. We don't use advertising or tracking cookies. Sponsored banners on the site are plain images - clicking one takes you to the advertiser's site.
7. Your rights
You can ask us to access, correct, delete or export your data, to restrict or object to how we use it, and to withdraw consent where we rely on it. Most details you can change yourself on your Profile. To make a request, email privacy@kinetic.im - we reply within one month.
If you are unhappy with how we handle your data you can complain to the Isle of Man Information Commissioner, or to the data protection authority where you live (for example the Spanish AEPD or the UK ICO).
8. Keeping your data safe
We use encrypted connections (HTTPS), keep service keys on our servers only, limit admin access, and use short-lived sign-in links. No system is perfectly secure, but we work to protect your data and will tell you and the regulator about any breach where the law requires it.
9. Children
Kinetic is for players aged 16 and over. Younger players may be added by a parent, guardian, club or coach who is responsible for them. If you think we hold a child's data without the right permission, contact us and we will remove it.
10. Changes
We may update this policy; the date at the top shows the latest version, and we will tell you about important changes.
